TransitAmerica Services, Inc. (TASI) is a member of the Herzog family of companies and is currently looking for an Administrative Assistant to support our General Manager in San Jose,CA. The ideal candidate will have some Administrative professional experience and is looking for their next opportunity to grow & advance their career. They will be a fast learner with experience working with limited guidance, possessing sound judgement in a fast paced, goal-oriented, and ever-changing work environment. The ideal candidate will be a detail-oriented planner with the demonstrated ability to communicate and respond effectively and efficiently while maintaining flexibility and patience under pressure. This person should be highly detailed and organized. Computer proficiencies will need to be demonstrated as a minimum for the required programs listed below.

 

Duties and Responsibilities:

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Conserves GM's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintains GM's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
  • Represents the GM by attending meetings in the GM's absence; speaking for the GM.
  • Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
  • Maintains customer confidence and protects operations by keeping information confidential.
  • Completes projects by assigning work to clerical staff; following up on results.
  • Prepares reports by collecting and analyzing information.
  • Secures information by completing data base backups.
  • Provides historical reference by developing and utilizing filing and retrieval systems; recording meeting discussions.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
  • Ensures operation of equipment by completing preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and techniques.
  • Maintains professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks; participating in professional societies.
  • Contributes to team effort by accomplishing related results as needed.

 

Qualifications:

  • High School diploma or GED
  • College degree preferred but not required
  • Must be highly motivated and a self-starter
  • Excellent attention to detail and organization
  • Must have strong interpersonal and communication (verbal/written) skills
  • Must be able to maintain confidential information
  • Demonstrate computer proficiencies with the below: 
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Adobe Acrobat
  • Cloud based storage applications (i.e. Box, Dropbox)
  • Google Docs, Drive and Calendar
  • Printers, copiers, scanners and fax machines

 

Pre-Employment Requirements:

  • Subject to pre-employment background check and motor vehicle report review.
  • Subject to pre-employment physical, medical evaluation, and drug screen
  • Successfully complete and maintain any required safety certification and testing on an annual basis.
