Herzog Technologies, Inc. is currently seeking an Administrative Assistant for the MRL Positive Train Control (PTC) Project that runs between Sand Point, ID and Billings, MT, with primary offices located in Missoula, MT.


Duties and Responsibilities:

*This is a non-exhaustive overview of the job duties for this position.

  • Book flight and hotel reservations
  • Submit/manage employee expenses and invoices to the Corporate office
  • Order and maintain office supplies and breakroom inventory
  • Schedule meetings, conference calls and video meetings
  • Prepare and issue meeting minutes as needed
  • Distribute mail and coordinate outbound shipping as needed
  • Complete forms in accordance with company procedures
  • Maintain scheduling and event calendars
  • Order and coordinate food for meetings and other functions
  • Operate office equipment such as copiers, and phone systems, and use computers for spreadsheet, word processing, database management, and other applications.
  • Make copies of correspondence and other printed material.
  • Locate and attach appropriate files to incoming correspondence requiring replies.
  • Create sign-in sheets and any other documents necessary for both the office and field operation conference rooms.
  • Assist all departments with administrative tasks including, but not limited to; proofreading and editing documents, filing, data entry, etc.
  • Maintain open lines of communication from Field to the Corporate office
  • Onboarding of Herzog new hires as needed
  • Submit/maintain hours for payroll with the Corporate office
  • Regular and predictable attendance and punctuality are a requirement for this position.
  • All other duties as assigned



  • High School degree or equivalent.
  • Experience in an administrative role is preferred but not required
  • Relevant experience in the light rail industry preferred but not required
  • Must be highly motivated and a self-starter
  • Excellent attention to detail and organization
  • Must have strong interpersonal and communication (verbal/written) skills
  • Must be able to multitask
  • Demonstrated track record of reliability and dependability
  • Must be able to maintain confidential information
  • Demonstrate computer proficiencies with the below: 
  • Microsoft Office (Word, Excel, PowerPoint, Outlook)
  • Adobe Acrobat
  • Cloud based storage applications (i.e. Sharepoint, Box, Dropbox)
  • Google Docs, Drive and Calendar
  • Printers, copiers, scanners and fax machines 


Pre-Employment Requirements:

  • Subject to pre-employment background check and motor vehicle report review.
  • Subject to pre-employment physical, medical evaluation, and drug screen.
  • Successfully complete and maintain any required safety certification and testing on an annual basis.
